PROCESS ANALYSIS AND OPTIMIZATION
The work gets done. But how many detours does it take?
I help you identify what’s slowing down the work, simplify the steps and put clearer ways of working in place, based on your reality.d put clearer ways of working in place, starting with how your business actually operates.
It’s not always a lack of effort. Sometimes, the way you work just hasn’t kept up.
Your business has evolved. Tasks have been added, tools too, but some ways of working still rely on habits, scattered files or the memory of a few people. That can mean:
-
Searching for the same information across multiple emails or files.
-
Re-entering data that already exists somewhere else.
-
Asking someone where a file stands or what the next step is.
-
Redoing work because information or approval came too late.
-
Waiting for the one person who knows how something is done.
The work gets done. But with more detours than it should.
Before changing the tool, you need to understand why the work keeps getting stuck.
I look at how a request, a piece of information or a project moves from one step to the next. Not just what’s written in a procedure, but what people actually do with the tools they already use.
We identify what works and should be kept, and what needs to be simplified. A new tool can be useful, but it isn’t automatically the answer.
Identify what’s slowing down the work
I look for duplicate work, missing information, bottlenecks and unreliable follow-ups. Together, we identify what needs to be addressed first.
Clarify the steps and responsibilities
We define what needs to be done, by whom and when. The goal is for your team to know how to move the work forward without having to reinvent the process every time.
Simplify what can be simplified
We review the steps, information transfers and ways of working that create unnecessary manual work. We build on what already exists rather than starting from scratch.
Document and support implementation
I document the new ways of working and help your team put them into practice. We adjust what needs to evolve once the new processes are being used day to day.
More than findings. A clear path forward.
Depending on the agreed scope, the project can include:
-
A clear view of the current steps and the people involved.
-
The friction points to address, in order of priority.
-
A simplified process with clearly defined responsibilities and steps.
-
Procedures or tracking tools adapted to your team.
-
An implementation plan and adjustments based on real-world use.
You know what needs to change, why it needs to change and how we’re going to put it in place.
If the analysis shows that a tool, integration or automation could simplify the work, we determine together the best way to incorporate it into what comes next.
How we move forward together
We choose what needs to work better
We define the need and the scope of the project: client follow-up, request management, project coordination or another process that needs clarification.
We look at how things work today
I review the steps, tools and documents currently being used, then speak with the people involved to understand how the work actually gets done.
We define the priority improvements
Together, we choose the most relevant changes based on the pain points, dependencies and your team’s ability to put them into practice.
We implement and adjust
I carry out the agreed improvements, document the new ways of working and help your team put them into practice. We see what works and adjust as needed.
One process that keeps getting stuck, or several ways of working that haven’t kept up?
Frequently asked questions
Do I need to already have written procedures?
No. We can start with your current ways of working, even if they aren’t well documented. Speaking with the people who do the work helps us understand the steps and habits already in place.
Do we need to change our software?
Not necessarily. We first look at what can be improved in the way you work and how you use your current tools. We only consider changing software if it addresses a real need.
Do you only do the analysis?
No. The project can also include simplifying the process, documenting it and implementing the agreed improvements. We define the work and deliverables before getting started.
Does my team need to be involved?
Yes. The people who do the work help us understand what actually happens and validate the changes. We define their level of involvement as part of the project.
Do we need to review the entire business?
No. We can start with one specific process. If other needs come up, we separate them from the initial scope and decide together what comes next.
